Terms and Conditions at Asian Link Travel
Welcome to Asian Link Travel! Before booking any of our Vietnam, Cambodia, Laos, or Thailand tours, please take a moment to review our terms and conditions. This page outlines the booking policies, payment terms, cancellation rules, and client responsibilities to ensure a transparent and enjoyable travel experience.
1. General Terms of Service These terms and conditions apply to all travel services provided by Asian Link Travel. By confirming a booking with us, either directly or through an agent, the client agrees to these general terms. This agreement remains valid regardless of whether it is verbal or written.
2. Tour Price Validity All tour prices and quotes are in U.S. dollars and are valid for the dates specified in your program or invoice. Asian Link Travel reserves the right to adjust pricing based on exchange rates, local tax changes, or fluctuations in flight and fuel costs without prior notice. The most accurate rates are those stated at the time of your booking confirmation.
3. Reservation and Confirmation Policy To confirm your booking, a 30% deposit of the total tour cost is required. The remaining balance must be settled at least 15 days prior to the tour start date. For large group bookings or high-value tours, we may request payments in structured phases:
- Below $10,000 USD: 30% deposit at confirmation, 60% two months prior, 10% two weeks before arrival.
- Above $50,000 USD: 30% deposit at confirmation, 30% two months prior, 30% one month prior, 10% two weeks before arrival. Failure to complete payments may result in automatic cancellation without refund.
4. Payment Methods We accept payments via bank transfer, Western Union, credit card, or cash upon arrival. Payment confirmation and receipts will be provided. Please be aware of potential bank or transaction fees.
5. Cancellation and Refund Policy We understand that plans can change. Our cancellation policy is designed to be fair:
- Cancellation over 21 days before arrival: 100% refundable
- 14 to 20 days before: 75% refundable
- 7 to 13 days before: 50% refundable
- 6 days or fewer: non-refundable
- Airfare is non-refundable Force majeure events such as natural disasters or pandemics may qualify for full refunds or flexible rescheduling.
6. Travel Insurance We strongly recommend that all travelers purchase comprehensive travel insurance. Insurance should cover medical emergencies, trip cancellation, delays, lost luggage, and repatriation. Asian Link Travel will not be responsible for expenses resulting from events outside our control.
7. Itinerary Adjustments While rare, tour itineraries may be adjusted due to unforeseen circumstances. Minor changes will be communicated promptly. If major changes occur before departure, you may choose to:
- Accept the revised itinerary
- Switch to an alternative tour of equal or lower value
- Cancel and receive a refund (excluding non-refundable deposits) Changes due to force majeure are not eligible for compensation.
8. Travel Responsibilities and Conduct By booking with Asian Link Travel, clients accept full responsibility for their behavior during the tour. We reserve the right to terminate service for clients whose conduct poses risks to themselves or others. Clients are also responsible for any property damage or additional expenses resulting from their actions.
9. Delays and Force Majeure Asian Link Travel is not responsible for delays or cancellations caused by airlines, natural disasters, civil unrest, pandemics, or other uncontrollable circumstances. In such cases, we will assist as much as possible to minimize disruption.
10. Client Complaints and Dispute Resolution Any service-related concerns should be reported immediately to our staff. Formal complaints must be submitted in writing within 30 days of your tour’s end. If disputes cannot be resolved amicably, they will be settled through the Vietnam International Arbitration Centre (VIAC).
11. Special Requests Requests such as non-smoking rooms or dietary needs must be made in writing at the time of booking. While we strive to meet these needs, fulfillment is not guaranteed.
12. Contract Termination Rights We reserve the right to cancel bookings or terminate services if a client displays offensive or harmful behavior. In such cases, standard cancellation fees apply, and no compensation will be offered.
